Privacy Policy

Last updated: 12 October 2026

Your privacy matters deeply. This Privacy Policy outlines how your personal information is collected, used, stored and protected when you use this website or engage with the coaching services, digital products, online tools and programmes offered by Kate Walker.

This website is operated by Kate Walker, a sole trader based in Tauranga, New Zealand (“we”, “us”, “our”). We collect and hold the personal information described in this Privacy Policy, and we handle it in accordance with the New Zealand Privacy Act 2020, irrespective of where you are located.

1. Information We Collect

1.1 Information you provide. We collect personal information you provide directly, such as your name, email address, and any details you share when you contact us, sign up for emails, book a call, make a purchase, or work with us. This includes:

(a) enquiries: your name, email address and the content of any contact form, email or social media message you send to us;

(b) email list: your email address, and your first name if provided;

(c) discovery calls: your name, email address, the time booked and any information entered in the booking form;

(d) purchases: your name, email address, the product purchased, the amount, date and status of payment, your country and any billing address requested at checkout, and the limited payment details made available to us by the payment processor (such as the card type, the last four digits of the card and its country of issue);

(e) customer accounts: where our sales platform requires a login, your login email address and a record of the products you may access and when they were accessed;

(f) coaching clients: the information contained in your intake forms and Client Coaching Agreement, the information you disclose in sessions, and any session notes;

(g) group programmes: your registration and attendance, and any information you elect to disclose in sessions or group communications; and

(h) feedback: any testimonial, survey response or other feedback you elect to provide.

1.2 Sensitive information. Information disclosed in the course of coaching or a group programme may include sensitive information concerning your relationships, wellbeing, health, sexuality and personal history. We collect only such information as is reasonably necessary for the service being provided. Our online tools and questionnaires also invite you to enter sensitive information of this kind. Where an online tool operates within your browser, that information is not collected by us, as described in clause 1.6. Where you provide information about another person (including a partner, former partner or family member), you should provide only such information as is necessary, and we will handle it with the same care.

1.3 Information collected automatically. We also collect technical data (such as website traffic, page views and browsing behaviour) through tools such as cookies, analytics, server logs, and the security and content delivery services that protect and deliver this website, in order to operate and improve the website. This data includes your IP address, browser and device type, the pages requested and the date and time of each request. Such data may constitute personal information notwithstanding that it does not include your name.

1.4 Information from third parties. Our payment and sales platforms notify us when a payment has been completed. Where we receive personal information about you from another person (for example, where a product is purchased for you as a gift), we will take reasonable steps to notify you that we hold that information, unless you are already aware of it.

1.5 Information we do not collect. We do not collect or store:

(a) your full payment card number or security code, which are provided directly to the payment processor;

(b) your responses in any online tool that operates within your browser, as described in clause 1.6; or

(c) personal information from children, as described in clause 7.

1.6 Online tools that operate within your browser. Certain of our online reflection tools and questionnaires are designed to operate entirely within your web browser. The notice displayed at the commencement of each tool states whether it operates in this manner. In respect of those tools:

(a) no transmission of responses: your responses, and any reflection or summary generated by the tool, are processed on your own device. They are not transmitted to us, to our website server or to any other person, and we are unable to view, retrieve or recover them. The tool contains no means of transmitting your responses;

(b) saving is optional: nothing is saved unless you elect to save it. You may select “save on this device” before you begin, in which case your progress is saved as you go so that you may return later in the same browser on the same device, or at the end. Saved responses are stored in that browser on that device only, until you select the erase function (which deletes them immediately) or clear your browser data. Once 30 days have passed from when you first selected “save on this device”, saved responses are deleted automatically the next time the tool is opened in that browser. If you do not select “save on this device”, your responses exist only in the open page, and are lost when that page is closed or refreshed. If you are using a private or incognito window, saved responses are deleted when that window is closed;

(c) printed copies and saved PDFs: the “Download or print my answers” button opens your browser’s print screen, from which you may print your responses or save them as a PDF. Any such copy is held on your own device or in hard copy, under your control and not ours, and is not affected by the erase function or by the automatic deletion of saved responses;

(d) erase function: the erase function clears the information saved by the tool in that browser, after first asking you to confirm, as erasing cannot be undone. It does not delete any PDF you have saved, any printed copy, or your browsing history;

(e) quick exit function: the quick exit function closes the tool and opens a different website, and locks the tool again so that the password is needed to reopen it. It does not delete your browsing history and does not prevent any monitoring software installed on the device from recording your activity;

(f) information we do receive: as with any web page, opening the page on which a tool is located creates a standard server record of the IP address, the date and time, and the page requested. Entering the access password places a cookie in your browser so that the page remains unlocked. That cookie contains no information about you, and is deleted when you close your browser. We do not operate analytics, advertising or session recording tools on those pages, and no content of any kind is loaded on those pages from any other website. Those pages are also excluded from search engines; and

(g) shared or monitored devices: any person with access to your device or browser may be able to view saved responses, saved PDFs or printed copies. If another person has access to your device, or you believe it may be monitored, you should consider using a different device.

1.7 Where you elect to send your responses to us by email or other message, we will hold that information as correspondence in accordance with this Privacy Policy.

1.8 Where information is not provided. Your name, email address and payment details are required in order for us to supply a product or accept a booking. The provision of all other information is voluntary. Where you elect not to provide it, we will proceed on the basis of the information provided.

2.6 Coaching confidentiality. Information disclosed in the course of coaching is kept confidential, and coaching notes are held in a password protected account to which only Kate Walker has access. The limits of coaching confidentiality are set out in the Client Coaching Agreement.

2.7 Storage outside New Zealand. The majority of the service providers referred to in clause 2.4 store information outside New Zealand, principally in the United States and the European Union. They hold that information on our behalf, and we remain responsible for it. We engage established providers that undertake to protect personal information. However, the privacy laws of other countries may differ from those of New Zealand.

3. Data Security

3.1 We take reasonable measures to protect your personal information from loss, misuse, unauthorised access or disclosure. While we aim to keep your data safe, no online system can be guaranteed to be 100% secure.

3.2 Those measures include the use of reputable service providers, strong passwords and two-step authentication on business accounts (including the website administration accounts), the restriction of access to the website administration area to Kate Walker and to our web developer, and the use of a secure (HTTPS) connection for every page of this website, which browsers are instructed to use at all times. This website is also protected by a security firewall.

3.3 You should not send payment card details or highly sensitive information by ordinary email or through website forms.

3.4 Privacy breaches. In the event of a privacy breach that has caused, or is likely to cause, serious harm, we will notify the affected individuals and the Privacy Commissioner as soon as practicable.

3.5 Retention. We retain personal information only for so long as it is required for the purpose for which it was collected, or for such longer period as is required by law. By way of example, New Zealand taxation law requires business records, including purchase and payment records, to be retained for seven years. Information that is no longer required is deleted or de-identified.

4. Your Rights

4.1 Access and correction. You have the right to request access to, and correction of, the personal information we hold about you. Where we do not agree to make a requested correction, you may request that a statement of the correction sought be attached to the information.

4.2 Deletion. You may request that we delete your personal information. We will do so unless we are required or entitled to retain it, for example for taxation purposes or in connection with a dispute.

4.3 Unsubscribing. You can unsubscribe from any emails or marketing by using the unsubscribe facility provided in the email or by contacting us directly.

4.4 Making a request. Requests should be made by email to kate@katewalkersos.com. We may need to verify your identity before responding. We will respond as soon as reasonably practicable, and in any event within 20 working days of receiving the request.

4.5 Information held on your own device. We are unable to retrieve or delete responses held only in your own browser, or PDFs you have saved, as that information is never received by us. You should use the erase function in the relevant tool and delete any saved PDF yourself.

4.6 Persons outside New Zealand. The law of your place of residence may confer additional rights, including the right to object to or restrict the processing of your personal information, or to receive it in a portable format. To the extent that those laws apply to us, we will give effect to those rights. In respect of individuals in the United Kingdom or the European Union, we process personal information on the following legal bases: the performance of our contract with you (the supply of products and services); your consent (marketing communications, and any sensitive information you elect to disclose in coaching); compliance with legal obligations (taxation records); and our legitimate interests in operating, securing and improving our business.

5. Cookies & Tracking

5.1 This website uses cookies or similar tools to operate and to enhance your experience. Cookies are small data files that store preferences or track user behaviour. Certain cookies are necessary for the website to function, including the cookie that records that a password protected page has been unlocked. Embedded third party services, such as the Calendly booking tool, may place their own cookies.

5.2 In relation to analytics, fonts and advertising:

(a) We use Google Analytics and Google Tag Manager to gather data on how this website is used, including the pages visited and the duration of each visit. This information helps improve site performance and user experience. Google collects this data by means of cookies and may process it in the United States. Neither is used on the pages of our online tools.

(b) This website loads fonts from Adobe Fonts, with the result that your browser transmits your IP address to Adobe when a page is loaded.

(c) We advertise on platforms operated by Meta (Facebook and Instagram) using the audience selection options made available by Meta, such as country, age, gender and interests. We do not provide our customer or email lists, or any other personal information held by us, to any advertising platform.

(d) We do not use advertising pixels (such as the Meta Pixel) on this website or on our Podia storefront.

5.3 You can adjust your browser settings to manage or block cookies at any time. Blocking cookies may prevent certain parts of the website from functioning, including logins, bookings and password protected pages.

6.1 If you join the email list, you may receive updates, insights or offers relating to our coaching services and products. You can opt out at any time. Your information is stored securely and is never shared with third-party marketers.

6.2 Each marketing email identifies the sender and contains a functional means of unsubscribing. Unsubscribe requests are actioned within five working days.

6.3 We will continue to send essential communications concerning a purchase or booking, including receipts, access details and session information.

7. Children’s Privacy

7.1 This website is not intended for use by children under 18. We do not knowingly collect personal information from individuals under this age. If you believe that a child has provided personal information to us, please contact us and we will delete it.

7.2 Adult clients may refer to their children in the course of coaching. Only such information as is necessary should be provided, and it will be kept confidential.

8. Links to Other Sites

This website may contain links to third-party websites. We are not responsible for the privacy practices or content of those sites. Please refer to their individual privacy policies for more information.

9. Changes to This Policy

We may update this Privacy Policy occasionally to reflect changes in our practices or legal requirements. The current version is identified by the “Last updated” date stated above, and we encourage you to review this page periodically. Where a change materially affects the manner in which we use personal information already held about you, we will notify you before the change takes effect.

10. Contact

10.1 If you have any questions or concerns about your privacy, please contact Kate Walker, who is our Privacy Officer, at kate@katewalkersos.com.

10.2 Complaints. Any privacy complaint should be directed to us in the first instance so that we may endeavour to resolve it. If you are not satisfied with our response, you may make a complaint to the New Zealand Privacy Commissioner at www.privacy.org.nz. If you reside outside New Zealand, you may also be entitled to contact the privacy regulator in your place of residence.
